ASB Bank Statement PDF to Excel: New Zealand Accounts and Credit Cards

Turn an ASB transaction, savings, or credit card statement PDF into Excel or CSV, then tie every total back to the statement before you import it.

Key Takeaways

An ASB bank statement PDF is the record to keep. A spreadsheet is the file you can sort, total, and import. Use both. The spreadsheet does not replace the PDF.

  • In FastNet Classic, open the menu, choose Documents, and download the statement PDF from Document Centre. ASB's help page updated on 6 December 2023 says credit card and bank statements go back to January 2015. An older page says 1 December 2010, so check that account.
  • The ASB Mobile Banking app shows 12 months of statement PDFs. Older statements are in FastNet Classic.
  • Search and export transactions can show up to seven years of history and export up to 10,000 transactions as CSV, OFX, QIF, or a tab-delimited file. That export is transaction history. It is a different file from the issued statement.
  • Convert the Document Centre PDF on Know Your Bank Statement when you need a closed cycle in Excel or CSV, then compare dates, amounts, and balances with the original before you import it.
  • The same asb.co.nz path works in New Zealand and for an ASB account used from Australia, the United States, the UK, or Europe. It does not cover a Commonwealth Bank statement from NetBank.

Why an ASB statement PDF is a poor spreadsheet

ASB issues statements as PDFs so you can read and store a fixed copy. That is the right file for Inland Revenue workpapers, a mortgage packet, a visa file, or a tenancy application. It is a poor file for bookkeeping. Columns break when you copy them, a description that includes particulars, a code, and a reference wraps onto the next line, and a card payment can land in the wrong amount column.

Accountants, bookkeepers, and households in New Zealand need rows they can filter. The PDF stays the source. The spreadsheet is the working copy.

What the issued statement is for

The statement in Document Centre is the electronic copy of the paper statement for one account and one period. It includes the transactions ASB posted for that cycle. A printout of the on-screen transaction list is a different file. ASB's print help, updated on 11 November 2024, tells you to open the account and use Print on the transaction list. Use that printout for your own reading. When a lender, a landlord, or a tax agent asks for the statement, send the Document Centre PDF.

What Statement Export is for

FastNet Classic can also export transactions. ASB's Statement Export help says the export supports OFX, QIF, CSV, and tab-delimited files, and that you can export up to 10,000 transactions. A later help page tells you to open Search and export transactions under Everyday banking, pick the account and the dates, and view the rows. That file is useful when your books need recent activity and the range is still inside what ASB will export. It does not include the statement header, the cycle dates, or the layout a reviewer expects when they ask for the statement. If the client asked for the statement, send the PDF. If the ledger needs rows, convert that same PDF, or use the export only when you have checked that its dates match the cycle you are booking.

How to download an ASB bank statement PDF

Download the file from ASB before you convert anything. Menu labels can change, and FastNet Business can look different from FastNet Classic, so follow the labels you see after you sign in. The official FastNet Classic statements page is the reference for the current path.

In FastNet Classic

  1. Go to asb.co.nz yourself and sign in to FastNet Classic. Do not use a link from an unexpected email or text.
  2. Open the menu in the top left of the screen.
  3. On the right-hand side, select Documents.
  4. When Document Centre opens, choose the time period you need.
  5. Select Statements in Document types, then save the PDF.
  6. Open the file and confirm the account number, the suffix, and the statement dates before you upload it.

Name the file with the account and the period, for example asb-transaction-2026-09.pdf. A folder full of files named statement.pdf is how a six-month mortgage packet gets a duplicate month and a missing one. Put the year first so the files sort in order.

In the ASB Mobile Banking app

  1. Sign in to the ASB Mobile Banking app and select the account or credit card.
  2. On the account summary, open the more-options icon at the top right and choose Statements.
  3. ASB says 12 months of statements show by default, when they are available. Open the statement, then use the share button to save the PDF to a private folder.

ASB's mobile statement guide says statements older than 12 months are in FastNet Classic. A photo of a paper statement can be read later with OCR, but the PDF you download from ASB is sharper and should be the copy you keep.

How far back the statements go

ASB's FastNet Classic help page, updated on 6 December 2023, says you can see credit card and bank statements back to January 2015. An earlier help page, updated on 21 July 2021, says Document Centre stores statement PDFs from 1 December 2010, including after you stop paper statements. Those two pages do not name the same start date. Open Document Centre and look for the period on that account. If it is missing, contact ASB through the app or the number on your card or statement. A transaction export will not rebuild a statement ASB did not list.

You can stop mailed statements for an ASB transaction or savings account. In Document Centre, open Statement Stopper and select Online Statement for the accounts you want online. ASB's help page for that choice, updated on 13 August 2024, says you can also ask for an email or TXT when a new statement arrives. Stopping paper does not merge accounts. Download one PDF per account.

Statement PDF, transaction search, and Statement Export

ASB gives you three different files. Mixing them up is a common reason a Xero import does not match the statement a client emailed.

Source What ASB says it is How far
Document Centre PDF The statement, in the same form as the paper statement Back to January 2015 on the 6 December 2023 help page. An older page says 1 December 2010. Check the account.
Search and export transactions Transaction history you can view and export Up to seven years of history. Up to 10,000 transactions in one download.
ASB Mobile Banking app Statement PDFs you can view and share 12 months. Older PDFs are in FastNet Classic.

Statement Export formats, from ASB's own help, are OFX, QIF, CSV, and tab-delimited. CSV opens in Excel. OFX suits some accounting tools. None of those files is the issued statement. The Statement Export help and the transaction history help describe the limits. If a long export hits 10,000 transactions, split the date range and keep each file named with its dates.

What an ASB statement usually contains

Layouts differ by product, and ASB can change them. Read the headings on the PDF you downloaded. These are the parts that matter when you convert an ASB bank statement to CSV or Excel.

Account What to find first What conversion must preserve
Transaction or savings Statement period, account number and suffix, opening and closing balance Date, description, amount direction, and running balance when the statement prints one
Credit card Statement period, previous balance, new balance, minimum payment, payment due date Date, description, and amount, including payments, fees, and interest
FastNet Business The entity and the account on the header The posted rows for that account. The Business menu can differ from FastNet Classic.

Particulars, code, and reference

New Zealand payments often carry three short fields: particulars, code, and reference. ASB says each field holds up to 12 characters, and the text can appear on your statement and on the payee's statement. A company may ask you to put an invoice or customer number in one of them. When the PDF wraps those fields onto a second line, the spreadsheet still needs them in the description, in one cell. If you drop the reference, you cannot match the receipt later.

Money in and money out need an explicit direction. Some statements use separate withdrawal and deposit columns. Others use one amount column and a sign. If you are unsure how CR and DR behave, this CR and DR guide is the short version. Check one deposit and one withdrawal against the PDF before you trust the columns.

Dates and New Zealand dollars

ASB statements use New Zealand date order: the day comes before the month. Excel on a computer set to month-day order, the usual United States setting, will read 04/10/2026 as 10 April. On the statement, 04/10/2026 is 4 October. Before you import, set the date column to a date format you can read, or store dates as 2026-10-04 in a text column you control. Leave amounts in New Zealand dollars. If you need a figure in another currency, put the rate and the rate date in a note beside the file. Do not convert the rows inside the transaction file.

Credit card lines

An ASB credit card statement is a billing statement. Purchases, payments, fees, and interest sit in one activity list. A payment reduces what you owe. Record it as a payment on the card. Interest and fees are charges. The new balance is the balance on the statement date. The balance in the app today can differ because new charges have posted since the cycle closed.

How to convert an ASB bank statement PDF to Excel

Once the PDF is the right account and the right cycle, convert that file. Sign in on Know Your Bank Statement, upload the PDF, and compare the preview with the statement before you download CSV or Excel.

  1. Save the original PDF somewhere you control. Conversion does not replace that file.
  2. Upload the statement. If the PDF itself asks for a password, enter the document password. Your FastNet Classic password stays on asb.co.nz. Do not type it here.
  3. Wait for the preview. Check the row count against the posted lines you can see in the PDF.
  4. Download CSV if you are importing into accounting software. Download Excel if you are reviewing, filtering, or sending a working file to a client.
  5. Reconcile the spreadsheet to the PDF before anyone posts it to a ledger.

The same steps apply to a scanned or photographed statement, but the extraction uses OCR. OCR quality follows the scan: straight pages, readable type, and no cropped amounts. Review those files more slowly. For a general walkthrough of digital PDFs versus scans, see how to convert a bank statement PDF to Excel.

Columns worth keeping

Ask for a boring table. A useful spreadsheet has one transaction per row and these columns when the statement provides them:

  • Transaction date, written so the day stays before the month
  • Description, in one cell, including particulars, code, and reference when the PDF printed them
  • Withdrawal and deposit in separate columns, or a single amount with a sign you document
  • Running balance, when the statement prints one
  • A source column you add yourself, such as the filename, so a merged year still points back to a PDF

Leave the statement summary and the legal footer out of the transaction table. Those lines break totals.

ASB credit card statement PDF to Excel

An ASB credit card statement PDF uses the same upload as a transaction account. Treat the file as one statement period. Keep payments separate from purchases, fees, and interest. Match the previous balance and the new balance to the PDF before you import. The mobile app only shows 12 months of these PDFs. For an older cycle, use FastNet Classic Document Centre.

Excel or CSV, and when to use each

Excel is the review file. CSV is the import file. You can create both from the same extraction, and they should contain the same transactions.

Format Use it for Watch out for
Excel Filters, a tie-out tab, notes on exceptions, a file you send to a client Dates that Excel silently reformats from day-month to month-day, and amounts stored as text
CSV Xero and other imports that want a plain text file A description that contains a comma must stay quoted, or columns will shift

Open the CSV in a text editor once if a description looks split across columns. Commas inside merchant names are the usual cause. A broader comparison of the two formats is in the PDF bank statement to CSV guide.

ASB's own CSV export remains available for ranges inside the transaction history. Use it when you only need rows and the dates line up. Convert the PDF when you need the issued cycle, an older statement, or a file you can tie back to the document a reviewer already has.

Check the spreadsheet against the PDF

This is the step that protects the books. A converter can misread a wrapped description, drop a page, or place a payment in the purchase column. The preview is a first look. The tie-out is the real check.

Transaction and savings accounts

  1. Confirm the opening balance matches the prior statement's closing balance.
  2. Total money in on the spreadsheet and compare it with the statement, if ASB printed a total.
  3. Total money out the same way, including automatic payments, direct debits, and fees.
  4. Confirm the closing balance. If the statement shows a running balance, the last running balance should equal the closing balance.
  5. Spot-check the first line, the last line, and any line where particulars, code, or reference wrapped.

Credit cards

  1. Confirm the previous balance and the new balance.
  2. Separate payments from purchases, fees, and interest. A card payment must not be imported as sales income.
  3. Confirm the payment due date in your notes, even if you do not import that field.
  4. Search the sheet for a missing sign on a refund or a payment.

If a total is off, fix the spreadsheet from the PDF. Do not type a balancing figure you cannot trace to the PDF. If you cannot explain the difference, do not import the file.

Using the file for Xero, tax, and applications

Bookkeeping in Xero

Many New Zealand practices keep client books in Xero. Some clients still send ASB PDFs when a bank feed is missing, closed, or not what the engagement uses. A checked CSV cuts the retyping on those files. Where Xero already has a live ASB feed, keep that feed as the book of record. Import a CSV into Xero only after the tie-out, and only for the statements the feed does not already cover. Map deposits, withdrawals, and card payments to the accounts you already use. An ASB credit card payment is a transfer between the bank account and the card. Recording it as a new expense counts the purchases twice.

Keep the PDF next to the import. If a reviewer later asks where a row came from, the filename column should point at that statement.

Tax files and GST

ASB's statement help says that if you have investments or a small business and need statements for tax, you can download the PDFs from Document Centre, order duplicates, or keep paper. Keep the PDF with the workpapers. Use the spreadsheet only to prepare your own schedules. A bank line shows the amount that moved. It does not split GST. Keep the tax invoice when you need a GST claim. Do not send a spreadsheet and call it the bank statement.

Loans, visas, and tenancies

A lender, a visa file, or a landlord almost always wants the PDF. ASB notes that many third parties accept digital statements, so you may not need a branch to certify a printout. Give them the Document Centre PDF. Give them the spreadsheet only when they asked for a working file.

If you use an ASB account from Australia, the United States, the UK, or Europe

This guide is for an ASB account in New Zealand, signed in through asb.co.nz. ASB is part of the Commonwealth Bank of Australia group, and a CommBank statement from NetBank is a different document. The download steps for that Australian statement are in the CommBank statement PDF to Excel guide. ANZ, Westpac, and BNZ statements are different files again.

The FastNet Classic path does not change because you are in Sydney, London, New York, or Berlin, as long as the account is an ASB account. Sign in at asb.co.nz, download the PDF for the cycle you need, and convert it if a preparer or your own worksheet needs rows.

  • Download the PDF while you still have access to the phone number ASB uses for sign-in checks.
  • Keep the statement period in the file name as year-month, such as asb-transaction-2026-09.pdf, so a preparer does not have to guess whether 04/10 means 4 October or 10 April.
  • Leave amounts in New Zealand dollars. Put any exchange rate and its date in a note beside the file.
  • Send the PDF, not only the spreadsheet, when someone asks for proof of funds or income.

Problems that show up on ASB files

The statement you need is not in Document Centre

Confirm the account and the suffix first. A transaction account and a savings account are easy to mix up, and each statement covers one account. Then check the period against the range ASB lists for that product. The mobile app stops at 12 months, so an older statement can be missing there and present in FastNet Classic. If it is still missing, ask ASB through an official channel. Search and export transactions will not recreate a statement from several years outside the export window.

Excel changed the dates

That happens when a computer set to month-day order opens a day-month file. 04/10 becomes 10 April if the sheet assumes a US date. Fix the column before you import. A converted file keeps the date as printed, so 04/10 can still be read as 10 April on a computer set to month-day order. Check the first and last transactions against the PDF after you open the sheet on the computer that will do the import.

Copy-paste scrambled the columns

That is normal for this PDF. Descriptions wrap, particulars sit in a tight column, and a multi-page statement repeats headers. Stop pasting and convert the file. Extract the table, then tie the rows out, as described in the bank statement PDF to Excel guide.

The export and the statement do not cover the same days

Statement Export follows the dates you chose, up to the history ASB will release, and it stops at 10,000 transactions. The statement follows ASB's cycle. If the opening balance on the export does not match the statement, you are not looking at the same period. Book from the statement PDF, or narrow the export until the dates and the totals match.

A row does not match a receipt

Merchant names are often shortened, and the useful detail may be in the 12-character reference rather than the merchant line. Compare the date, the amount, and the reference before you call a charge unknown. If it is still unfamiliar, contact ASB through the app or the number on the card, and keep the statement page.

The spreadsheet balances but the books do not

Then the statement tie-out worked and the ledger mapping did not. Look for a card payment recorded as an expense, a transfer between ASB accounts recorded twice, or a pending payment that was categorized before it posted. The statement cannot fix a mapping error.

Conclusion

Download the ASB statement from Document Centre in FastNet Classic, keep that PDF, and convert it to Excel or CSV only as a working copy. Check opening balances, closing balances, the direction of each amount, and the date order before you import. If you want the rows without retyping, upload the PDF on Know Your Bank Statement, then tie the download back to the statement you saved.
